CSV Import/Export Guide (Using CaseClock without Clio)
This guide provides CaseClock users with step-by-step instructions on how to export time entries in CSV format and import them into billing or practice management systems. It aims to streamline the billing workflow for users who do not utilize Clio, ensuring accurate time tracking and efficient data transfer.
If you don’t use Clio, you can still use CaseClock to capture time quickly and move it into your billing/practice management workflow using CSV export/import.

Recommended workflow (simple)
Step 1 — Capture
Use CaseClock during the day, at end-of-day, or as you leave the office.
Example recordings:
- “0.1 — email to client re next steps — Jones file”
- “0.2 — call with opposing counsel re scheduling — Smith file”
- “Bookmark: reviewing contract changes, paused at clause 12 — Chen file”
Step 2 — Review
Before exporting:
- confirm the matter/client label (whatever naming you use)
- confirm the description is clear
- confirm the duration is correct (hours or increments)
Step 3 — Export CSV
In CaseClock, go to the export/share area and choose Export CSV.
Step 4 — Import or deliver
Depending on your workflow:
- import the CSV into your billing/PMS tool, or
- send it to your admin/bookkeeper to post entries.
What a CSV export typically includes
Your export may include some or all of:
- Date
- Duration (hours)
- Client label/name
- Matter label/name
- Description / narrative
- Lawyer/timekeeper name (optional)
- Rate (optional)
- Activity/task code (optional)
Different systems require different columns. That’s normal.
Importing into your billing/PMS tool
Most systems follow the same pattern:
- Download the system’s time entry import template (if available).
- Compare required fields/columns to the CaseClock export.
- Map columns in Excel/Google Sheets.
- Import.
If your system doesn’t support import:
- you can still use the CSV as a clean handoff to an admin
- or you can copy/paste entries into your system
CSV mapping tips (common issues)
Hours vs minutes
- If your system wants minutes, multiply hours by 60.
Date formats
Some systems require:
YYYY-MM-DD(e.g., 2026-02-11) Others require:MM/DD/YYYY(e.g., 02/11/2026)
If your import fails, check the required date format.
Matter IDs / client IDs
Some tools require numeric IDs rather than names. If so:
- export your matters/clients from your PMS
- add an ID column to your spreadsheet
- map names → IDs
Required fields
Import errors often occur because a required field is blank:
- matter
- timekeeper
- date
- duration
- narrative/description

Troubleshooting
“My system rejected the CSV”
Most common causes:
- required fields missing
- wrong date format
- duration format mismatch (minutes vs hours)
- system requires matter/client IDs
Send us:
- the error message
- the name of the system
- a redacted copy of the CSV (remove client names if needed) and we’ll help you map it.
“I’m not sure what to put for client/matter”
Use your internal naming convention (even if informal). The priority is:
- you capture the work
- the description is clear
- it can be matched to the correct file later
