This guide explains how to connect Clio to CaseClock, detailing sync timing, troubleshooting common issues, and best practices for managing client and matter data. It is intended for CaseClock users and aims to help them efficiently integrate and utilize their timekeeping workflow with Clio.

Quick summary

  • Clio sync is not instant. It typically updates about every ~5 minutes.
  • If something is missing, capture the time anyway, then fix details once the matter/client appears.

How the Clio connection works (plain English)

When you connect Clio, you authorize CaseClock to access the information needed for timekeeping workflow (e.g., matters/clients and time entry syncing). CaseClock uses that connection to keep your matter/client context up to date and to support sending approved time entries into Clio.

You remain in control. You can review/edit entries before anything is synced.

Sync timing: what “~every 5 minutes” means

What you should expect

  • Newly updated items in Clio may take a few minutes to appear in CaseClock.
  • If you just connected Clio, the first sync can take a short time to populate everything.

What you should not expect

  • Instant appearance of every change the moment it happens in Clio.
  • Immediate resolution if you refreshed the page/app once—give it a few minutes.

If a client or matter is missing

Try this checklist:

  1. Wait ~5–10 minutes (Sync is periodic, not instant.)
  2. Confirm you’re still connected CaseClock → Settings → Integrations → Clio
  3. Reconnect Disconnect, then connect again (sometimes the token needs a fresh handshake).
  4. Capture first, fix later If you’re trying to enter time right now, capture the entry and update the matter once it appears.
  5. Report it (if still missing) Send support:

Closed or older matters

Depending on how the sync scope is currently configured and how your Clio environment is structured, some closed/older matters may not show immediately.

Best practice:

  • Capture the time entry now.
  • Update the matter/client assignment once it becomes available.
  • If it’s critical to your workflow, report the matter name to support and we’ll help.

Rate mismatches (global rates vs matter overrides)

Clio can use:

  • firm-wide/default rates
  • user-specific rates
  • matter-level overrides
  • other billing configurations depending on your setup

If you notice a mismatch:

  1. Check whether the matter has a custom rate/override in Clio.
  2. Confirm you’re looking at the same matter/client in both systems.
  3. Report to support with:

“It looks connected, but nothing is syncing”

Common causes:

  • You just connected Clio and need to wait for the first sync cycle.
  • Your device/network temporarily interrupted background activity.
  • The authorization token needs a reconnect.

Try:

  1. Wait a few minutes.
  2. Fully close and reopen the app.
  3. Confirm connection in Settings → Integrations → Clio.
  4. Reconnect Clio.
  5. If still stuck, email support with details.
